the rules for using pica

acceptance of terms

by accessing or using pica (the "service"), you agree to be bound by these terms of service ("terms"). if you do not agree to these terms, do not use the service. the service is operated by Withpica Ltd ("we", "us", "our").

description of service

pica is a creative catalog management platform that helps music professionals organise their works, manage agreements, enrich metadata, and collaborate with others.

  • catalog management for musical works and recordings
  • agreement and contract tracking
  • metadata enrichment and registration exports
  • integrations with third-party services
  • ai-assisted features using your own api keys (byoc)
  • provenance and compliance documentation
  • public directory for opted-in catalog discovery

eligibility

to use pica, you must be at least 16 years old and capable of forming a binding contract. by using the service, you represent and warrant that you meet these requirements.

account registration

you must create an account to use pica. you are responsible for maintaining the security of your account.

  • provide accurate, complete, and current information
  • maintain the security of your password and account
  • notify us immediately of any unauthorised access
  • you are responsible for all activity under your account
  • one person or entity per account (no sharing credentials)

subscriptions and payment

pica offers free and paid subscription tiers. by subscribing to a paid tier, you agree to the following.

  • subscription fees are billed in advance on a monthly or annual basis
  • all fees are in gbp and exclude applicable taxes
  • you authorise us to charge your payment method automatically
  • prices may change with 30 days notice
  • no refunds for partial subscription periods
  • beta discount (50% off for life) applies to early adopters

cancellation

you may cancel your subscription at any time through your account settings.

  • cancellation takes effect at the end of your current billing period
  • you retain access until the end of the paid period
  • data export is available before account closure
  • we may retain certain data as required by law

your content and data

you retain ownership of all content you upload to pica ("your content").

  • you grant us a licence to host, store, and display your content
  • this licence is limited to operating and improving the service
  • we do not claim ownership of your music, works, or creative content
  • you are responsible for ensuring you have rights to content you upload
  • we may remove content that violates these terms or applicable law

ai features (byoc)

pica offers ai-assisted features using the bring your own credentials (byoc) model.

  • you provide your own ai api keys (claude, openai, gemini, grok, ollama)
  • we do not store your ai api keys on our servers
  • ai usage is subject to your agreement with the ai provider
  • we are not responsible for ai provider outages or changes
  • ai responses are provided "as is" without warranty
  • you are responsible for reviewing and verifying ai-generated content

third-party integrations

pica integrates with third-party services. your use of these integrations is subject to their terms.

  • you authorise data sharing when connecting integrations
  • we are not responsible for third-party service availability or changes
  • integration access can be revoked at any time in settings
  • third-party service terms and privacy policies apply

public directory & api

pica provides a public directory where opted-in catalog data is visible to anyone. the directory is also accessible via a read-only api and mcp server.

  • directory listing is opt-in — organisations choose to make their catalog publicly visible through directory settings
  • you can remove your catalog from the directory at any time, and removal takes effect immediately
  • directory data is read-only — visitors cannot modify, download, or bulk-export catalog data
  • automated access (scraping, crawling, bulk downloading) is prohibited without prior written permission
  • the public api is rate-limited — excessive requests may be throttled or blocked
  • directory data is provided for informational purposes only — we do not guarantee its accuracy, completeness, or currency
  • we reserve the right to modify, restrict, or discontinue the directory or api at any time
  • the mcp server is provided as a convenience for ai-assisted catalog discovery and is subject to the same rate limits and usage policies

email communications & mailouts

pica allows you to send emails to your subscribers and contacts through mailouts and automated sequences. when using these features, you agree to the following.

  • only email recipients who have given valid consent or have an existing business relationship with you
  • include a working unsubscribe mechanism in every marketing email
  • honour unsubscribe requests promptly
  • comply with applicable email laws including uk pecr, eu eprivacy directive, and can-spam act
  • not send deceptive, misleading, fraudulent, or illegal content
  • not use pica to send unsolicited bulk email (spam)
  • we may suspend or restrict your mailout access if we detect violations of these requirements

prohibited uses

you agree not to use pica for any unlawful or prohibited purpose.

  • violate any applicable laws or regulations
  • infringe intellectual property rights of others
  • upload malicious code, viruses, or harmful content
  • attempt to gain unauthorised access to our systems
  • interfere with or disrupt the service
  • use the service for spam, harassment, or abuse
  • reverse engineer, decompile, or disassemble any part of the service
  • resell or redistribute the service without permission
  • use automated means to access the service (except authorised apis)
  • systematically extract or scrape data from the platform or its apis beyond normal use

intellectual property

the PICA platform, its source code, architecture, algorithms, data structures, enrichment logic, identity graph, reconciliation systems, MCP tool definitions, and all related documentation are the exclusive property of Withpica Ltd and are protected by copyright, database rights, trade secret law, and other intellectual property laws of England and Wales and international treaties.

  • the pica name, withpica name, logo, and branding are our trademarks
  • you may not copy, modify, reverse engineer, decompile, or distribute our service, source code, or content
  • you may not extract, scrape, or systematically download data from the platform or its APIs beyond normal use
  • the compiled datasets, enrichment layers, and identity graph constitute a protected database under UK and EU sui generis database rights
  • feedback you provide may be used to improve the service without obligation
  • all platform intellectual property is owned by Withpica Ltd (company no. 09575191)

disclaimer of warranties

the service is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement. we do not warrant that the service will be uninterrupted, error-free, or secure.

limitation of liability

to the maximum extent permitted by law, we shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly, or any loss of data, use, goodwill, or other intangible losses, resulting from your use of the service.

our total liability shall not exceed the amount you paid us in the 12 months preceding the claim.

indemnification

you agree to indemnify, defend, and hold harmless pica and its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including legal fees) arising from your use of the service or violation of these terms.

termination

we may terminate or suspend your access immediately, without prior notice, for any reason, including breach of these terms. upon termination, your right to use the service ceases immediately. provisions that by their nature should survive termination shall survive.

changes to terms

we reserve the right to modify these terms at any time. we will notify you of material changes by email or through the service. your continued use after changes constitutes acceptance of the new terms.

governing law

these terms shall be governed by and construed in accordance with the laws of England and Wales, without regard to conflict of law principles. any disputes shall be resolved in the courts of England and Wales.

mcp access

PICA provides access to your catalog data through the Model Context Protocol (MCP). when you generate a connection key, you authorise any AI client configured with that key to read and write your catalog data within the scopes you define. connection keys can be restricted to read-only or granted full admin access. you can revoke any key at any time from your settings page. revoked keys stop working immediately. rate limits apply to all MCP connections. current limits are published in our documentation and may change with reasonable notice. you are responsible for securing your connection key. treat it like a password. do not share it publicly or commit it to version control.

agent responsibility

when your AI creates, modifies, or deletes catalog data via MCP tools, you are responsible for the changes. PICA executes the instructions your AI sends using the authority granted by your connection key. PICA does not review, validate, or approve changes made by AI agents. your workspace shows everything your AI has created or modified. we recommend reviewing your workspace regularly to verify accuracy. if your AI makes changes you did not intend, you can undo them from your workspace or contact support for assistance.

credit-gated operations

some operations cost credits. these include compute-intensive tasks such as audio analysis, catalog asset reports, and enrichment from external sources. before any credit-gated operation runs, your AI will be informed of the cost. the operation will not proceed without sufficient credits in your account. credits can be purchased from your settings page. unused credits do not expire. refunds for failed operations are issued automatically. current credit costs are published in our documentation and may change with 30 days notice.

micropayment protocol (mpp)

when enabled, PICA supports inline micropayments via the MCP micropayment protocol. this allows your AI to pay for individual operations without pre-purchasing credit packs. mpp payments are processed by stripe. standard stripe terms apply. PICA does not store payment card details. spending limits can be configured in your settings. PICA will not process payments that exceed your configured limit without explicit approval. mpp is currently in preview and may change. we will notify you before any changes to pricing or payment terms.

third-party ai providers

PICA uses platform-level API credentials to access external services on your behalf. these include: spotify API, youtube data API, musicbrainz, MLC, ACRCloud, ISNI, and wikidata. when you use features that call these services (such as import, enrichment, or audio analysis), your catalog data is transmitted to the relevant provider. each provider has its own terms and privacy policy. PICA also uses AI providers (anthropic claude, openai) for specific features such as document analysis and CSV column mapping. data sent to AI providers is used only for the specific operation and is not retained by PICA for training or other purposes. refer to each provider's privacy policy for their retention practices.

data ownership and export

all catalog data created through PICA — whether entered manually, imported via MCP tools, or generated by AI analysis — belongs to you. PICA is the custodian, not the owner. you can export your data at any time in industry-standard formats (CWR, CSV, JSON, PDF). your right to export is not contingent on your subscription status. if you close your account, your data is retained for 30 days to allow recovery, then permanently deleted.
